Is Your WhatsApp Chatbot Still Answering? How Bots Stop Silently, and How to Check

The short answer

A WhatsApp chatbot usually stops answering for one of five reasons: its connection to WhatsApp dropped, it hit a usage limit, a payment failed, it handed the conversation back to a person and stayed out, or the vendor had an outage. The common thread is that customers notice before the owner does. A two-minute test message once a week, sent from a phone that is not on your staff list, catches most of it. The checklist is below.

How often this happens

Of the 1,221 public complaints about respond.io, Wati, SleekFlow, ManyChat and Meta's business AI that we read on 27 September 2026, 214 were about the bot or inbox stopping without anyone noticing: 117 about ManyChat, 35 about Meta's agent, 26 about Wati, 20 about SleekFlow and 16 about respond.io. It was the most common serious complaint, and every one of the five had it. We searched for complaints, so these counts describe what unhappy customers write about, not how often any tool fails; and most of the ManyChat complaints are about Instagram rather than WhatsApp.

Five ways a WhatsApp bot goes quiet

1. The connection to WhatsApp drops

If your number runs the WhatsApp Business app and a chatbot at the same time (Meta calls this coexistence), the link depends on the main phone. Meta's developer documentation lists the reasons a connection is cut, including "primary device inactive for approximately 14 days", the business changing its number, re-registering WhatsApp on a new phone, and the account being disconnected by Meta (Meta for Developers, read 5 October 2026). A phone left in a drawer over a holiday, or a staff member reinstalling WhatsApp, can end it.

2. A usage limit is reached

Contact-metered tools can stop at the limit. SleekFlow's help centre says that if you go over your monthly active contacts with auto-scaling switched off, the workspace is blocked and "AI agents will stop automatically responding to conversations" until capacity is restored (SleekFlow help centre, "Auto-scaling overview", read 5 October 2026). 3. A payment fails

An expired card can switch features off quietly. One owner wrote: "my account was unexpectedly downgraded to Free and I lost access to features my business relies on for live WhatsApp customer support" (G2, June 2026, about ManyChat).

4. It handed the chat back and stayed out

Most assistants step aside when a person replies, which is right, but some stay out longer than you expect. Meta's business agent pauses in a chat once you reply manually, "until you unmute it" (WhatsApp Help Center), and while it is in learning mode it collects chats instead of answering them (WhatsApp Help Center). Some assistants also treat the WhatsApp Business app's own greeting or away message as a person replying. If yours does, an away message left on overnight keeps the bot out of exactly the chats it was meant to take.

5. The vendor has an outage

Every platform has bad days. The difference is whether you hear about it. Many vendors publish a status page with email alerts; SleekFlow's, for example, is at status.sleekflow.io.

A weekly check that catches most of it

  1. Send a test message. Once a week, from a phone that is not on your staff or ignore list, ask a question your documents answer, at a quiet hour. Time the reply. This one step catches every cause above.
  2. Compare in and out. In your tool's inbox, look at the most recent automated reply. If customers have written since and nothing has gone out, find out why today.
  3. Open the main phone. Open WhatsApp Business on the phone that holds the number at least every few days. WhatsApp's Help Center says the primary phone must log in every 14 days to keep linked devices connected.
  4. Read the billing emails. Make sure invoices and payment-failure emails go to an inbox someone reads, and update the card before it expires.
  5. Switch on every alert. Usage alerts, connection alerts, status-page emails: turn on whatever your tool offers, and send it to a person, not a shared inbox nobody checks.
  6. Check the app's own auto-replies. If your assistant steps back when someone replies, turn off the app's greeting and away messages.

Questions to ask before you choose a tool

  • If the WhatsApp connection drops, who is told, how, and how quickly?
  • What happens at the contact, credit or message limit: does it keep answering, charge more, or stop?
  • If a payment fails, what switches off, and is there a grace period?
  • Is there a public status page with email alerts?
  • When staff reply, how long does the bot stay out of that chat?

Ask for the answers in writing during the trial, then test the first one yourself: switch the connection off on purpose and see whether anyone tells you.
