Your timetable and your systems

Can Conciergr keep up with a timetable that changes every few weeks?

Yes. Conciergr reads your timetable from a Google Sheet you keep, and an edit reaches the assistant within about ten to fifteen minutes. Add a new intake, move a class or take a full one out, and the next answer follows the Sheet. A large timetable works the same way: hundreds of classes across several branches is normal. If your timetable is produced by another system or published on your website, copy or export it into the Sheet whenever it changes, and the assistant keeps up.

Can Conciergr answer straight from our website?

Conciergr answers from a Google Doc and a Google Sheet you own, not from your website directly, so every reply traces back to a line you can read and correct. Most businesses start by copying their website's key pages into the Doc and their fees and timetable into the Sheet. From then on, the documents are where you change an answer, and the assistant follows within about ten to fifteen minutes.

Does Conciergr need access to our booking system, CRM or student records?

No. Conciergr does not connect to your booking system, CRM, billing or customer records, and needs no login or API to any of them. It answers what your documents say. Questions about one customer's own account, such as a payment, an absence or a make-up class, go to your team, who have the records.

Keeping answers right

Will Conciergr make things up?

Conciergr is designed not to: it answers only from your documents, and when the answer isn't there it tells the customer it will check with your team and alerts them. Every reply is logged with the part of your documents it came from. If a reply ever states something your documents do not support, that month's fee is waived.

How do Conciergr's answers stay up to date? Does it learn from our chats?

Conciergr does not rewrite its own answers from your chats, because a one-off or mistaken reply would then become a permanent answer. Instead, every Monday you get an email listing what customers asked that your documents could not answer. Where your team already answered in the chat, that wording is in the email, ready to paste into your Doc. You check each one before it goes in, and the assistant stops having to ask your team about it.

Can we check Conciergr before it answers real customers?

Yes. A new Conciergr assistant starts paused and replies to nobody until you switch it on. Before that, you can read everything it knows in your dashboard and fix any line in your documents. Once it is on, the Pause button at the top of the dashboard stops it at once, and your team answers by hand exactly as before.

Your team and your WhatsApp number

Does Conciergr need a new WhatsApp number?

No. Conciergr works on the number your business already uses, and your team keeps the WhatsApp Business app on their phones. Replies appear there like any other sent message, and staff can step in at any time.

Can Conciergr run alongside another WhatsApp platform we already use?

Usually not on the same number. WhatsApp lets one outside platform, such as a marketing tool, a chatbot builder or a shared inbox, work on a number at a time, so a platform already connected to your number normally has to be disconnected before Conciergr connects, and its WhatsApp messages on that number stop while Conciergr is on. Your WhatsApp Business app and your chats stay as they are. If you use one today, email [email protected] before you start and we'll check your setup with you.

Will Conciergr talk over our staff?

No. When someone on your team replies in a chat, Conciergr steps back in that conversation for 10 minutes after their last message. After that it answers new messages again, and only picks up what the customer wrote meanwhile if a question is still open. Anything sensitive, or anything your documents don't cover, goes to your team instead of being answered.

Can we have several specialised assistants on one number?

No. Conciergr runs one assistant per WhatsApp number, and it covers every topic in your documents: fees, classes, trials, policies, locations. Anything outside them goes to your team. Separate brands with their own numbers can each have their own assistant.

Does Conciergr know customers who have messaged us before?

Yes, if you choose to share your chat history when you connect your number. Conciergr then sees a returning customer's earlier conversation with you (about the last six months) and replies in context. The history is never used to train AI models.

Volume and cost

Can Conciergr handle a rush of replies after a marketing broadcast?

Yes. Conciergr has no caps and no per-message fees, so a hundred replies arriving in ten minutes are each answered as they come in, at no extra cost, and only the ones that need a person reach your team.

Does Conciergr charge per message or per reply?

No. Conciergr is one flat monthly price, however many conversations you have. The only usage-based cost is Meta's own WhatsApp fee on some messages, which Meta bills to your own Meta account at its published rates; Conciergr never includes or marks it up. See the plans on the pricing page.
