WhatsApp Auto Reply for Business: Beyond the Away Message

What the built-in auto reply actually does

WhatsApp Business has a built-in away message. You write a single text, set the hours it should fire, and anyone who messages outside those hours gets that one reply. It works, up to a point.

The point is this: a static away message tells the customer you are not available. It does not answer their question. A parent asking about Saturday maths fees at 9pm gets "Thanks for your message, we'll get back to you during business hours." That is better than silence, but it does not give them what they came for, and by morning they may have already contacted someone who did.

The gap between auto reply and auto answer

There is a meaningful difference between acknowledging a message and answering it. The built-in WhatsApp Business auto reply does the first. To do the second, you need something that understands what the customer is asking and responds with the right information.

This is where document-grounded AI receptionists come in. Instead of a single pre-written message, they read your business's own documents, a price list in a Google Sheet, policies in a Google Doc, and reply with the specific answer to the specific question. The auto reply becomes an auto answer.

Setting up the built-in away message

If you are starting from nothing, the built-in option is worth turning on. In the WhatsApp Business app:

  1. Open Business Tools (or Settings, then Business Tools), then Away Message.
  2. Toggle it on and write your message. Keep it short and honest: who you are, when you will reply, and how else they can reach you if urgent.
  3. Set the schedule. "Outside of business hours" works for most businesses; you can also set custom hours.
  4. Choose the recipients using the options shown in the app.

This takes five minutes and immediately improves the experience for anyone messaging after hours. It is not a substitute for actually answering, but it is a clear step up from nothing.

When the away message stops being enough

Three signs that your business has outgrown the static auto reply:

You lose enquiries overnight. Call research shows that 85% of unanswered callers will not call back or try again (aggregated from SchedulingKit, Aira and Call Setter AI reports, grade b). If your auto reply says "we'll get back to you" but the customer wanted a quick answer to a simple question, you may never hear from them again.

Your team spends mornings catching up. The built-in auto reply queues messages for human follow-up. If your mornings start with a backlog of overnight WhatsApp messages, each needing a personalised reply, the away message is deferring work rather than reducing it.

You field the same questions repeatedly. Prices, timetables, availability, what to bring, how to book a trial. If many of your WhatsApp enquiries could be answered from a single document your team already maintains, a system that reads that document and replies automatically saves time on both sides.

What to look for in a smarter auto reply

If you decide to move beyond the built-in away message, prioritise these things:

  • Answers from your own data. The system should read documents you control and update. When your prices change, it should follow within minutes, not require a support ticket.
  • Source logging. Every automated reply should be traceable to the exact document section it came from. This protects you and builds trust.
  • Coexistence with your existing WhatsApp. Your team should still see every conversation in the WhatsApp Business app and be able to step in at any point. No separate inbox, no new app to learn.
  • Human handoff. Anything the system cannot answer confidently, or anything sensitive, should be routed to a person immediately.

The cost of doing nothing

The WhatsApp Business auto reply is free and takes minutes to set up. There is no reason not to have it on. But for businesses where evenings and weekends account for a large share of enquiries, the gap between "we'll get back to you" and an actual answer is where revenue quietly leaks. Dance Business Weekly (2025, grade a/b) found that only 45% of dance studio enquiries arrive during traditional business hours. The other 55% land in the evenings and weekends when the desk is empty. A static auto reply acknowledges those messages. An AI receptionist answers them.
